Frequently Asked

Knowledge
Base.

Straight answers to the questions HR teams, managers, and employees ask most — about pricing, privacy, onboarding, and what makes Mindsetor different.

01

How much does it cost?

Less than one sick day per employee per year. That's the full cost — the app, biometric tracking, gamification, and two included sessions with a licensed psychologist. Pricing is tailored to your team size and needs. Get in touch for a quote.

02

Do employees need a smartwatch?

No. The app works on its own. The only thing employees actively do is a quick daily check-in — how they're feeling, plus two questions on psychological safety and team support. Everything else is automated. A wearable just adds richer background data (heart rate variability, sleep stages, recovery) without any extra effort. We support 50+ devices including Apple Watch, Garmin, Fitbit, Oura, Whoop, Samsung, Polar, and more.

03

Is it GDPR compliant?

Yes. All data is encrypted in transit and at rest, stored on EU-based servers (Google Cloud, europe-west1, which is SOC 2 Type II and ISO 27001 certified). We follow Privacy by Design principles. No personal health data is ever shared with employers, insurers, or third parties. Mindsetor itself is not yet certified to ISO 27001 or SOC 2; internal control mapping for those standards is in progress and certification is on the roadmap subject to enterprise demand.

04

Will HR see individual data?

Never. Individual health data stays private — only the employee can see it. HR receives anonymized aggregate reports (team-level trends, engagement rates, risk indicators). We enforce a Rule of 10: group insights are only generated when a team has 10+ active users, so no individual can be identified.

05

What happens after the 10-week pilot?

We deliver a full impact report covering engagement, participation rates, and wellbeing trends. Companies can then continue with an annual subscription or stop — no lock-in. Employees who purchased a tracker through the cashback program keep earning cashback for up to 6 months total.

06

How does onboarding work?

HR sends us a list of work emails. We send each employee a personal invite. They download the app, connect their wearable if they have one, and they're in — takes about two minutes. No training sessions, no baseline assessment, no IT integration, no disruption.

07

How is this different from an EAP?

EAPs wait until someone's already struggling, then offer a phone number. Mindsetor catches early warning signs through daily tracking and acts before it's a crisis — with nudges, tips, and direct access to licensed care. Typical EAP utilization is under 5%. Our pilot targets are 60%+ engagement.

08

How is this different from a wellbeing survey?

Surveys give you a self-reported snapshot from last week. Mindsetor gives employers what they actually need: is workforce wellbeing going up or going down? We answer that question with continuous, anonymized aggregate data — not individual health metrics. Employers don't need to know how everyone sleeps. They need to know whether things are improving. And employees get something back too: personal insights, gamified challenges, and access to professional care.

09

Is participation mandatory?

No. Participation is always voluntary. The cashback program and gamification create strong incentives to join, but nobody is forced. In our experience, when employees see the value, adoption follows naturally.

10

What does HR actually need to do?

Almost nothing. Share a list of employee emails and send one internal announcement. After that, the system runs itself — the first three intervention levels are fully automatic. HR receives a periodic receipt of what the system did: nudges delivered, sessions booked, wellbeing trend direction. If something structural needs attention — a team-wide decline that individual interventions can't fix — HR gets a direct alert with recommended actions. You don't monitor dashboards. You step in only when it matters.

11

Does Mindsetor monitor me 24/7?

Mindsetor reads activity, sleep, and HRV data continuously while you have a wearable connected and HealthKit/Google Health Connect permission granted. The app cannot enforce work-hours-only collection. That is a wearable-platform limitation. You control what is shared by toggling permissions in HealthKit or Health Connect, by removing your wearable, or by uninstalling the app. Mood-only mode (no health data) is also supported. Your employer never sees individual data; only aggregated trends across at least 10 active users.

12

Is Mindsetor a medical device?

No. Mindsetor is a wellbeing platform, not a medical device under EU MDR (Regulation 2017/745). Per MDR Recital 19, lifestyle and wellbeing software is excluded from the medical-device definition. Our risk indicators are informational, not diagnostic, predictive, or therapeutic. We do not replace consultation with your bedrijfsarts, huisarts, or other licensed healthcare professional.

13

What if I don't want to participate?

Participation is always voluntary. Employers cannot condition employment, performance review, promotion, or remuneration on participation, non-participation, or any in-app engagement pattern. You can decline at any time, withdraw consent under Article 7(3) GDPR, erase your data via Settings, Privacy, Delete Account, or uninstall the app. There is no employment consequence for any of these choices.
